Terms & Conditions


All Access School provides dance, drama and fitness classes to accommodate both children and adults.

The aim of the school is to run positive, inclusive, and high quality classes whilst encouraging each student to reach their full potential.

This agreement sets out the terms and conditions that will govern the relationship between you, the student and/or parent/guardian of the student, and All Access Dance, Drama and Fitness School therein after called ‘All Access’. It is a legally binding agreement and will be construed in accordance with the laws of England and Wales and subject to the exclusive jurisdiction of the English Courts.


TERMS & CONDITIONS

Parents/Guardians Responsibility

Parents/guardians have a legal responsibility to remain on site with their child if he/she is under 8 years old. We advise that parents/guardians remain on site with children under 12 years old, but it is not a legal requirement. Children NOT taking part in classes but left unattended cannot be the responsibility of the teacher or school.

Viewing classes

a)     Parents are not permitted to watch weekly classes as can be distracting for students. However, we hold watching weeks throughout the year so that friends and family can celebrate their child’s progress.

b)    During watch week or at any of our open events, if anyone wishes to photograph or film, they may do so however must speak with the principal/teacher first as some students or parents may not wish their children to be photographed or filmed. If this policy is found to be breached, we will ask you to remove all evidence of the photography/filming.

Arrival & Departure

a)     Please arrive to classes in a timely manner. If arriving early, please be aware that there may be a class still in progress, therefore, please wait quietly and in a suitable area that will not obstruct or distract any students in other classes.

b)    We are unable to take responsibility for anyone arriving earlier than ten minutes. Being late affects the other children/attendees and the plan for the class. 

c)     We also ask all parents/guardians to arrive at least 5 minutes before the designated end time for the class. No child under the age of 18 will be able to leave the premises without a parent/guardian unless written notification is received before the commencement of classes detailing suitable alternative arrangements. If an emergency occurs and you are unable to collect your child, please contact the teacher by text or another parent in your child’s class. If at the end of a class, a child has not been collected, we will call all the contact numbers you have provided for us. If we are unable to get in contact with anyone, a teacher will remain with your child for 45 minutes before the local authorities are called.


Health & Safety, Medical Conditions & First Aid

a)     Please bring your own refreshments to classes along with any medication you may need. 

b)    Do not attend classes if you are unwell, have any Covid symptoms or have been told to self-isolate.

c)     Please notify us if you develop any Covid symptoms post class. The relevant class attendees will be notified however, you will not be named and remain anonymous.

d)    If something hurts stop immediately – exercise should not cause pain or discomfort. Every ‘body’ is different and you should work within your own limitations.

e)    Please take things at your own pace during class; You can stop whenever needed and/or modify steps to suit you to help prevent pushing beyond your own capabilities.

f)      It is your responsibility to inform us at the time of registration of any of you or your child’s pre-existing medical conditions (including allergies), physical challenges or behavioural conditions. If your child has any medication requirements whilst under our care, we can make provision for your child’s specific needs. We would expect the parents/guardians to provide a care plan for any relevant background information that staff may need to be aware of while their child is attending a class. We would ask students/parents/guardians to contact in advance to discuss any individual requirements. It is also your responsibility to inform us of any changes post registration.

g)     Miss Zoe is First Aid trained. First Aid will be administered to all adults and children that have completed the first aid consent form included in your registration contract. All accidents will be recorded by the teacher in their accident report book, which attendees/parents/guardians will be asked to sign at the end of the class. If the accident is serious, we may need to call the emergency services.

h)    EpiPen Guidelines – teachers are not qualified to administer an EpiPen (an emergency treatment of anaphylaxis). However, they are permitted to do so if we receive a letter containing written permission from the student/parent/guardian. The student /parent/guardian must state in the letter that permission is given to administer the EpiPen but that they fully understand that staff may not be qualified to do so and that they (the student/parent/guardian) accept full responsibility.

i)      Physical activity or exercise is undertaken at your own risk. If you have any concerns about your health or suitability for your chosen activity you should seek guidance from a doctor or relevant health professional before participating.

j)      If you/your child has an injury which means you/they cannot participate, we do recommend attending class to observe. We are not responsible for injury occurring because of a pre-existing medical condition. 

k)     Where you/a child falls ill during class, and we think it necessary, we may ask you to leave/contact parent/guardian to collect and take the child home (and you are expected to collect your child asap).

Confidentiality

a)     The information and personal data that you provide to All Access is solely used for the management and running of the school, it is not shared with any third party companies or individuals. Where information needs to be given for examinations entry and to show venues in the relation to you/your child’s performance we will always ask for your consent.

b)    Please note that if emergency services are called then we will need to provide you/your child’s information to them if required.

Behavioural Standards & Equal Opportunities

a)     Please always listen to staff and follow their instructions.

b)    All Access expects all students to always behave in a manner that is acceptable to both fellow students and staff. All Access reserves the right to exclude a student from classes where he/she fails to maintain the required behavioural standard. Such failure shall include, but not be limited to, unreasonable behaviour, vandalism, racial, sexual, verbal, or physical abuse to a fellow student or staff. Transportation of the affected participants home will be the responsibility of the student/parent/guardian and no refund or credit will be issued.

c)     All Access is an equal opportunities school. We welcome all children and adults regardless of their gender, ability, race, age, or religion. Each student attending All Access classes is of equal value and is entitled to equal access of opportunity. We operate a zero-tolerance policy on discrimination or bullying of any kind.

Child Protection

a)     Safeguarding – All Access staff and assistants have a duty to act if they suspect a child in their care may be suffering from abuse or if a child makes a disclosure about abuse. In such an event, the member of staff will follow the Safeguarding Policy as detailed in our policies and procedures. Please see All Access’ Safeguarding Policy for further information.

b)    Our teachers have DBS checks in place however, in the unlikely event of any incorrect information provided by the teacher or admin assistant when completing the DBS, All Access cannot be held responsible.

c)     Photography, video, and social media – Please see All Access’ Media Policy for full details. Social media plays a big part in recognising student’s achievements as well as keeping students informed of classes and advertising All Access classes. All Access may therefore, from time to time post videos and/or photographs on social unless you opted out. In the unlikely event that you disagree with a post please get in touch.

Physical Contact

Teaching dance is a physical activity and appropriate physical contact between students and teachers in class is essential to training. Teachers may use their hands to illustrate a concept to a child or to adjust parts of a student’s body. In choreographic teaching, teachers demonstrate positions and movements to the students by moving parts of the student’s bodies; this often involves a good deal of physical contact with students. All Access recognises that such physical contact is a potentially complex area; and the school also fully recognises its responsibilities for safeguarding students and teachers and for protecting their welfare.

The following principles and procedures are in place to fulfil the school’s obligations:

a)     Contact by the teacher is made with awareness of the needs of each individual, to assist the dancer in correcting placement.

b)    All Teachers will treat any physical contact with due sensitivity and care.

c)     Contact will not involve force or the use of any instrument.

d)    Teachers will be mindful of location and avoid situations where they are isolated with a student under 18 years old.

Online Classes

a)     By participating in our online classes, you agree that you have enough room, suitable, safe area and free of obstacles and that your floor is fit for purpose. 

b)    Online class invitations are sent via email on Teams to student/parent/guardians. You agree that by sharing this link with your child or logging them in online you have accepted responsibility for your child’s welfare.

c)     In the unlikely event that you/your child causes damage or sustains injury at home, All Access and its teachers would not be liable.

Accounts/Fees

a)     All Access do not charge enrolment fees.

b)    Payments can be made by cash and/or online transfer. 

c)     Invoices are sent out via email one week prior to the beginning of the next half term.

d)    Payment for classes is required in advance every half term and we try to keep in line with Buckinghamshire School Term dates. Please refer to Term Dates document for detailed list of term dates.

e)    Additional classes will be offered where possible during term holidays and will be invoiced separately.

f)      Students will not be entered for examinations if tuition fees remain unpaid.

g)     Bookings and payments in advance are valid for the named person only, non-transferrable and non-refundable once payment has been completed.

h)    For any pre-paid classes or bookings if you fail to attend or cancel, you may not be eligible for a refund.

i)      Additional fees to be paid for examinations and extra coaching if required. Students are entered into examinations at the discretion of the principal, with your consent prior to entry.

j)      Change and cancellation for children’s classes by parent/guardian – we expect a half term’s notice in writing when planning to leave a class. Failure to do so may result in some fees still being applied.

k)     Invoices are due within the first two weeks of term or upon receipt of invoice if joining throughout term.

l)      Late payments, where three reminders have been sent may incur a £10 administration charge, subject to the school’s reasonable discretion.

m)   In the event of extreme circumstances beyond our control, classes may need to be cancelled. We will always contact you via email and/or text, also posting on social media.

n)    During adverse weather conditions, or other force majeure event, if the classes are still able to operate safely, they will continue to run. No refund or credit will be applicable for those who wish not to attend.

o)    Cancellation and Refund Policy – Except as noted above, All Access does not issue refunds for any reason, including no-shows.

p)    If payments on agreed payment terms are not met, then All Access teachers have the right to refuse attendance to class.

q)    Fees are reviewed annually, and you will be provided with no less than 6 weeks’ notice of any changes.

Personal Belongings

a)     Lost property – Please ensure you/students do not bring valuable toys or belongings when attending All Access classes. We cannot accept liability for lost, stolen or damaged items.  Please ensure clothing and other belongings are clearly labelled with the child’s name to help us return unclaimed items. Lost property will be kept for a period of three weeks after discovery. If items are still unclaimed after this period, All Access will distribute them to local charities.

b)    Mobile Phones and Electronic Devices – Mobile phones and other electronic devices (e.g. iPads, game consoles etc) are prohibited in our classes unless previously agreed with the teacher to record videos (of the student in mention only) for reference purposes. They may be brought into the class if they are turned off or on silent and inside a bag. They are not to be used during class unless otherwise agreed with the teacher. All Access will not take any responsibility for the damage or loss of any electronic device that are brought into our venues.

Liability & Insurance

a)     All Access does not accept liability for loss or damage to property, sickness, personal injury, or death of any participants unless directly caused by the proven negligence of the company or its servants.

b)    Where incorrect or misleading information is provided on the registration form, whether medical or otherwise, All Access are under no liability whatsoever in respect of personal injuries or otherwise.

c)     Organisers providing the facility and their servants are under no liability whatsoever in respect of personal injuries, loss or damage to property whilst attending All Access classes and neither All Access nor the organisers providing the facility shall be liable for direct or indirect losses if All Access. A venue or facility we use closes.

d)    Our Public Liability Insurance Policy covers adults and children under our care.

Hired facilities

a)     Respect of facility – There is to be no littering, inconsiderate behaviour or accidental or deliberate damage to the grounds of any of our hired facilities.

b)    Children, teachers, students, and parents/guardians are not permitted in any areas other than the rooms hired out by All Access.

c)     In the event of any damages to hired facilities the relevant student/parent/guardian will be billed.

Complaints

Now we have set out what you can expect from us, and us of you, All Access is fully committed to delivering the highest standards of teaching, coaching and care to all students within our school ‘family’. We aim to ensure every student has a fantastic experience in their classes and they cannot wait to come back. If you, or your child, are not entirely satisfied with the service and offerings that All Access provide, we would like to hear about it. Any complaints should be addressed directly to the principal. If we are aware of any problem while you or your child is still attending classes, we can aim to resolve this at an early stage. You can be assured that any complaint will be taken very seriously and in the strictest confidence.
